Terms of Service

1. The service

MeetingNotes.work ("the service") is a web application that transcribes audio recordings of meetings and generates structured output — including email drafts, summaries, transcripts and CRM notes — using AI technology.

The service is provided as-is. We strive for reliability and quality but cannot guarantee that AI-generated output is always accurate, complete or suitable for your specific situation. Always review AI output before using it.

2. Your account

You need an account to use the service. You are responsible for:

• Keeping your login credentials secure
• All activity that occurs under your account
• Providing accurate information during registration

You must be at least 18 years old to use the service.

3. Acceptable use

You may use the service for lawful purposes only. You may not:

• Record conversations without the knowledge and consent of all participants, where required by law
• Upload content that infringes copyright, is illegal, or violates the rights of others
• Use the service to generate spam, misinformation or harmful content
• Attempt to reverse-engineer, scrape or disrupt the service
• Share your account with others or resell access to the service

We reserve the right to suspend accounts that violate these terms.

4. Your content

You retain full ownership of everything you upload or create using the service — recordings, transcripts, knowledge base files and AI-generated output.

By using the service, you grant us a limited, non-exclusive licence to process your content solely for the purpose of providing the service to you. We do not use your content for any other purpose, including training AI models.

You are responsible for ensuring you have the right to record and process the content you upload, including any applicable consent requirements for recording conversations.

5. Subscription and billing

5.1 Plans

The service is available on a free tier and paid subscription plans (Starter, Pro, Business). Plan features and limits are described on our pricing page.

5.2 Payment

Paid subscriptions are billed monthly in advance via Stripe. All prices are in euros and exclude VAT where applicable. We reserve the right to change prices with 30 days' notice.

5.3 Cancellation

You can cancel your subscription at any time from your account settings. You retain access until the end of your current billing period. We do not offer refunds for partial months.

5.4 Free tier

The free tier is provided without guarantee of continuity. We reserve the right to modify or discontinue the free tier at any time with reasonable notice.

6. Privacy

We care deeply about your privacy. Our Privacy Policy explains in detail what data we collect, how we use it, and your rights. Key points:

• Your data is never sold or shared with third parties for commercial purposes
• Your content is never used to train AI models
• All data is stored in the EU and encrypted

7. AI-generated content

The service uses AI to generate text based on your recordings. This output:

• May contain errors, inaccuracies or omissions
• Should always be reviewed before sending or publishing
• Does not constitute legal, financial or professional advice

You are responsible for reviewing and verifying AI-generated content before using it.

8. Service availability

We aim for high availability but cannot guarantee uninterrupted service. We may occasionally take the service offline for maintenance, with notice where possible. We are not liable for losses caused by service interruptions.

9. Limitation of liability

To the maximum extent permitted by law, MeetingNotes.work is not liable for any indirect, incidental or consequential damages arising from your use of the service. Our total liability for any claim is limited to the amount you paid in the 3 months prior to the claim.

10. Termination

You can close your account at any time. We may suspend or terminate accounts that violate these terms, with notice except in cases of serious violation. On termination, your data is deleted within 30 days (except billing records required by law).

11. Changes to these terms

We may update these terms from time to time. We will notify you of significant changes by email at least 14 days before they take effect. Continued use of the service after changes constitutes acceptance of the updated terms.

12. Governing law

These terms are governed by the laws of the Netherlands. Any disputes will be submitted to the competent court in the Netherlands.
